1. YLEISTÄ HENKILÖTIETOJEN KÄSITTELYSTÄ

1.1. Tietojen käsittelyn tarkoitukset ja oikeusperusteet

Käsittelemme henkilötietoja seuraaviin tarkoituksiin:

Henkilökuvia sekä videoita käsitellään viestinnällisessä tarkoituksessa ja yleisessä arkistointitarkoituksessa.

Rekisteriin rekisteröidyt ovat henkilöitä, joilla on yhteys rekisterinpitäjään joko työntekijänä, entisenä työntekijänä, toimeksiannosta työtä tekevänä tai toimeksiannosta työtä tehneenä henkilönä, harjoittelijana tai Pirkanmaan liiton luottamushenkilönä. Työntekijällä tarkoitetaan myös viranhaltijaa.

Tieteellinen ja historiallinen tutkimus sekä tilastointi. Kuva-arkistossa olevia henkilötietoja voidaan säilyttää siihen saakka, kunnes rekisteröity pyytää niiden poistoa. Tai rekisteröity on antanut kirjallisen suostumuksensa henkilötietojensa käsittelyyn yhtä tai useampaa erityistä tarkoitusta varten.

Käsittelemme henkilötietoja seuraavien oikeusperusteiden mukaisesti:

Henkilökuvat, palvelun kirjautuneen käyttäjän sähköpostiosoite, nimitiedot sekä palvelun käyttäjien IP-osoite.

1.4. Tietojen säilytysaika ja poistaminen

Säilytämme henkilötietoja vain niin kauan kuin on tarpeen.

1. GENERAL INFORMATION ON DATA PROCESSING

1.1. Purposes and legal bases of data processing

The purposes of data processing on our website and in our application are the provision of services, initiation and fulfillment of contracts, fulfillment of legal obligations, provision of information about products and services of our company combined with the possibility for users to contact the contact persons in the company in a targeted manner.

We process personal data in particular in accordance with the following legal bases:

Art. 6 para. 1 lit. a GDPR for the processing of personal data with the consent of the data subject.
Art. 6 para. 1 lit. b GDPR for the necessary processing of personal data for the performance of a contract with the data subject and for the implementation of corresponding pre-contractual measures.
Art. 6 para. 1 lit. c GDPR for the processing of personal data necessary for compliance with a legal obligation to which we are subject under any applicable EU law or under any applicable law of a country in which the GDPR is applicable in whole or in part.
Art. 6 para. 1 lit. f GDPR for the necessary processing of personal data in order to protect the legitimate interests of us or third parties, unless the fundamental freedoms and rights and interests of the data subject prevail. Legitimate interests are, in particular, our business interest in being able to provide our website, information security, the enforcement of our own legal claims and compliance with other legal provisions.

1.2. Recipients of data

As part of the provision of services for specific areas, we use service providers who are separately bound to confidentiality and data protection and for whom access to personal data cannot be ruled out. These categories of recipients are data center service providers, service providers for remote maintenance and external consultants. We have concluded corresponding data protection contracts with all business partners in order to ensure an appropriate level of data protection. Personal data is only passed on to authorities if there are overriding legal provisions. Data is only transferred to third countries in compliance with the requirements of Art. 44 et seq. GDPR.

1.3. Storage period and deletion of personal data

We only process personal data for as long as necessary to achieve the purpose. If the purpose of processing no longer applies, we delete the data in accordance with the provisions of Art. 17 GDPR. Once the purpose of processing no longer applies, we store the data in accordance with the statutory retention periods. Any further storage will only take place if there is an exception in accordance with Art. 17 para. 3 GDPR.

1.4. Your right to information, rectification, erasure, objection, and data portability

You can exercise your right to information, correction and deletion of data at any time. Simply contact us in the ways described above. If you wish your data to be deleted, but we are still legally obliged to retain it, access to your data will be restricted (blocked). The same applies in the event of an objection. You can exercise your right to data portability insofar as the technical possibilities are available to the recipient and to us.

1.5. Right to lodge a complaint

You have the right to lodge a complaint with a data protection supervisory authority at any time.

We reserve the right to adapt the content of this data protection notice at any time. This is usually done in the event of further development or adaptation of the services used. You can view the current data protection information on our website.

2. DATA PROTECTION INFORMATION FOR DATA PROCESSING ON THE WEBSITE

The purpose of data processing on this website is to provide information about our company's products/services, combined with the possibility for you to get in touch with the contact persons in the company in a targeted manner.

When you visit https://mediafiles.fi, a connection is established with your browser. The following information collected in the process is temporarily stored in system files and recorded automatically: IP address of your device, date and time of access, name and URL of files accessed, website from which access is made or from which you were directed to our site (referrer URL), browser used and, if applicable, the operating system of your device and the name of your provider.

The aforementioned data is processed by us for the purposes of smooth connection establishment and system security. The connection data is automatically deleted. If the website is misused, log data whose further storage is required for evidence purposes will be retained until the incident has been clarified.

3. DATA PROTECTION INFORMATION FOR USERS OF THE WEB APPLICATION https://mediafiles.fi

MediaBank at mediafiles.fi is a digital asset management tool that enables efficient and cloud-based image and media management.

The purpose of data processing is the execution of the contract on the basis of Art. 6 para. 1 lit. b GDPR.

If you are provided with this web application as a user by your employer (platform customer), the latter is the controller, and we are the processor within the meaning of the EU General Data Protection Regulation; for information on the use of mediafiles.fi at your company, please contact your management or your data protection officer.

If you create your own customer account, the following regulations apply.

3.1 Customer account / contractual services

As part of your registration and if you order products and/or services via the website, we process the data you provide for the purpose of performing the contract. The legal basis for data processing is Art. 6 para. 1 lit. b GDPR. Without correct information from you, registration and use of the mediafiles.fi web application is not possible.

The data will only be passed on to third parties if this is necessary for the purpose of the contract.

3.2. Duration of storage and deletion of data

Your data in the user account will be stored for the duration of the execution of the contract; after the end of the contractual relationship, your data will be deleted from https://mediafiles.fi, unless overriding legal provisions prevent this in individual cases or the controller issues a different instruction. As a rule, your data will be deleted from the application after 6 months.

Tax-relevant data will be deleted after expiry of the tax periods of 10 years after the annual financial statements and the end of the calendar year.
